When are the timesheets sent to Tripletex?

Here you can read about when you can expect to see your timesheets in Tripletex, and what you can do if something has gone wrong.

If you have an active integration with Tripletex, we will send your timesheets from the HR system to Tripletex when the hours are approved. This means that all hours registered in the HR system which do not have the status approved, will also not be visible in Tripletex.

When an employee registers their hours, they get the status "registered". When the employee sends them for approval, they get the status "pending". The person processing the request can then approve or reject the hours, and they then get either the status "approved" or "rejected". When one or more registrations are approved, we send them to Tripletex immediately. This means that you as a manager can approve a timesheet, and then go into Tripletex and see the hours there.

If there is something wrong with the information for the employee or the project which the hours are registered on, you will not be able to approve the hours. Instead, you will be stopped with an error message that tells you what is wrong. This can happen, for example, if you have changed the employee number of an employee in Tripletex, but not updated it in the HR system. This can also happen if you have changed the project number of a project in the HR system, but not done the same in Tripletex. When you have the correct information in both places, you will be able to approve the hours.

If you are going to approve overtime registrations, the paycodes for overtime must also be visible in the time sheets in Tripletex. This is turned on under the relevant paycode in Tripletex.

A good rule of thumb is that if you are not able to register the hours with the selected information directly in Tripletex, we will not be able to send the hours from the HR system with that information.

After the hours are sent

When the hours are approved in the HR system and sent to Tripletex, they will not automatically be marked as approved in Tripletex. If the hours are to be used for payroll or invoicing in Tripletex, they must be marked as approved in Tripletex by a user with access.

If you discover that something has gone wrong after you have approved the hours in the HR system and sent them to Tripletex, you can still correct it. It is possible to make changes to the timesheets in Tripletex, but remember, if you change the information in Tripletex, the changes will not be visible in the HR system. If you want to display the correct information in both systems, you must go through the following steps:

  1. Administrator deletes the hours in the HR system (only admin has access to this).
  2. Delete the hours in Tripletex as well, this is not done automatically.
  3. Re-register the hours with the correct information in the HR system.
  4. Approve the hours.
  5. Now the hours are re-sent to Tripletex, with the correct information.
