How do I change rules for vacation and absence?

Read about how you can change the vacation and absence rules in the system so its adapted to your company.

Rules for the whole company

Under Company settings and General, you will find settings that apply to the HR system. Here, the administrator can change rules that apply to the entire company. The values that are shown here when the system is put into use are based on Norwegian legislation, and are also the values that most of the companies use. If your company has special agreements regarding holidays and absences, all values can be changed here.

These values determine how many days of different absences that can be registered by an employee during the calendar year, with self-certification occasions as the exception. This absence type is counted 12 months back, instead of per calendar year. The value here is therefore showing how many occasions the employee can register in a 12 month period.

When the maximum value for an absence type is reached, the employee can no longer register that type in their calendar, but if necessary, team managers and admin users can still register more absences for the employee.

The administrator can also choose how the proceedings for vacation and absence requests will work here. Admin users can always approve or reject all requests, but if the setting is set to the team manager, it means that the employee's team manager also can handle it. If the setting is set to a single person, only that person and admin users can handle the requests.

At the bottom, you can also choose how many working days a week will apply to the company. If the choice is 6 days here, saturdays will also be considered a working day.

Rules for individual employees

If individual employees in the company have an agreement on more vacation days, this can be changed under Balance in the menu to the left. Transferred vacation days from the previous year can also be entered here, and if the system is put into use in the middle of the year, already used vacation days can also be entered. The column for available vacation days shows how many holiday days the individual employee has left, before the maximum number is used.

There is also a menuitem called Absence under the menu for Balance. Changing of these values should only be done if the system is being put in to use in the middle of the year and the employees have already used days for the absences. It can also be used if a new employee start in the middle fo the year.
