Here you can read about why there are two different options to choose from when registering working hours in the system.
When registering your working hours, there are two different options; TIME and HOURS. The two options work slightly differently, so you can choose the option that best suits your needs.
Register working hours using TIME
When you select TIME, you choose to record the working hours between two timestamps. You select when you started working and when you finished. If you have worked overtime, you can also register that between two timestamps. You can never register more than 24 hours in a row when using TIME.
If you use the calendar to register, the date will be pre-filled with the date you clicked on, and if you use the timesheet, it will be pre-filled with today's date. The timestamps will be pre-filled based on the settings the administrator has set up. The administrator can choose between "7-15", "8-16" or "None" under Working hours in the settings. If "None" is selected, the pre-filled start time will be 8 hours back in time and the end time will be the time of the registration.
The administrator can also choose whether the company has a weekly working time of 40 or 37,5 hours, under company settings. This setting plays a role in how time is calculated when you use TIME as the registration method. If the setting is set to 37,5, 30 minutes of unpaid lunch will automatically be deducted from your registered time, as long as the registration exceeds 5 hours. If the registration is less than 5 hours, no lunch break is deducted.
Example: Administrator has selected 37,5 hours as weekly working hours in the company.
The user register their working hours using TIME, and selects 08:00 - 16:00. Now 7,5 hours of working hours will be registered on the selected date.
The user register their working hours using TIME, and selects 08:00 - 12:00. Now 4 hours of working hours will be registered on the selected date.
Register working hours using HOURS
When you select HOURS to register your working hours, you do not select a time. You only select how many hours you have worked, and you can also register working hours for multiple days at the same time. You enter the number of hours per day and the dates between which these hours should be registered. All days between these two dates will then have the number of hours you selected registered on them. This can be used, for example, if you are registering an entire week's working hours at once.
Please note that if you choose to record hours for multiple weeks at once, hours will be recorded on all days between the two dates. This means that hours will also be recorded on weekends.
All days will have the same number of registered hours, but you can choose to register overtime on certain dates in addition. If a day should have a different number of hours, you can always go in and edit the individual day afterwards.
When using HOURS, the company setting for weekly working hours will not have any effect. So if you register 8 hours per day, 30 minutes for unpaid lunch will not be deducted. If you have unpaid lunch, you must therefore register your actual working hours, which is then 7,5 hours.
