Find out who is allowed to do what when it comes to time registration and approval.
Register and sending in hours
All employees who have an HR license have access to register hours for themselves. Admin users and team managers also have access to register hours for others. Admin users can do this for all employees in the entire company, and team managers can do this for employees who belong to the same department.
In the personal calendar, team managers and administrators can choose which employee they want to see the calendar for, by changing the employee on the button at the top right. When you click on a date in the calendar and fill in the working hours, hours will be registered for the employee you are in the calendar for.
Hours can also be registered under the menu option Timesheet. For employees, the list only shows your own registrations. Team managers and admin users see the registrations of all employees they have access to and can also filter the list by which registrations they want to see. By clicking on "Add hours" the same window opens as when you register hours in the calendar. For admins and team managers, an additional field is displayed where they can change which employee they want to register hours for.
Submission of timesheets is also done here under Timesheets, using the button in the top right. The same permissions apply here as well. This means that admin and team manager will see a field where they must select who to submit the hours for.
These permissions cannot be changed. To change something, the only possible option is to change the role of the user.
Approve and reject hours
Who has access to handle requests for approval of hours is determined by the administrator. This is selected under company settings and "Proceedings for time registration". Here you can either select team manager or individual user. The setting is automatically set to team manager when you start using the system. When this setting is activated, those with the role of team manager will receive all requests from employees in the same department. Admin users receive all requests from all employees regardless of department. A request can therefore be approved by several people.
The second option that the administrator can choose means that all requests from all departments go to one person, instead of to the immediate manager. Admin users will still receive all requests, so that he or she can also handle them. If this is the option that will be used in your company, the setting must be changed by the administrator.
