In this article you can read about how we retrieve projects from Tripletex and what you need to watch out for.
Projects
In step 2 of the process to activate the integration to Tripletex, we retrieve your projects from Tripletex. We only retrieve the projects that have a project number filled out and that are not set to "Closed". If the project number of a project is already registered in the HR system, that project will be grayed out and not selectable.
We only check the project number, not the project name. If you have a project with the same project name in the HR system and Tripletex, but a different project number, you will be able to retrieve that project.
The projects you choose to check, will be created in the HR system when you complete the process. This means that they will be visible under the menu item "Projects", which you can find under "Company" in the menu on the left.
When you activate the integration and retrieve the projects from Tripletex, we retrieve the projects you have registered there and then. You must therefore ensure that the list of projects in the HR system is updated if, for example, you add new or end projects in Tripletex. If you want to retrieve projects again from Tripletex, you can always click on "Update Tripletex" under the company settings and go through the process again. If you do so, you have the option to retrieve new projects from Tripletex, but this will not affect the projects you have already retrieved.
The projects you have already retrieved should be handled in the HR system. For example, if it should no longer be possible to register hours on a project because it is set to closed in Tripletex, you must delete it manually from the HR system. It is not enough to mark the project as closed in Tripletex, as the HR system does not listen for it.
You can of course create projects manually directly in the HR system as well. You must not retrieve them from Tripletex. If you choose to do this, you must make sure that the project numbers are the same on the projects you have in Tripletex. If they are not the same, the integration will fail when we try to send the hours over.
It is always the list of projects in the HR system that controls which projects the employees can register hours on. If you have an active integration to Tripletex, you must therefore always make sure that this list is updated with the same projects that you have in Tripletex, so that the hours are transferred without problems.
You cannot send projects created in the HR system to Tripletex.
Activities
When you register hours in Tripletex, you must select an activity to register the hours. Once the integration to Tripletex is set up, a required field for "Activity" will appear when an employee registers their hours in the HR system. What is selectable in this field is based on which activities you have set up in Tripletex.
We always retrieve your activities when the hours are to be registered, so you don't need to update the integration again if you delete or add activities in Tripletex.
There are two types of activities: Internal activities and Project activities. Hours can be registered on internal activities if you are not registering the hours on a project. If you select a project when registering the hours, you must instead select a project activity that is available on the selected project.
